Why Are There Duplicate Member Records?

Why do I have duplicate records for a member?


There are several possible reasons why duplicate member records could exist:

  • When importing members it is possible that Excel may remove the leading zeroes.
    • For example, "0ABC" may be converted to "ABC" by Excel if the file is edited and not formatted correctly.
    • Member imports should always be reviewed in a text editor.
  • Member imports are created using either member pin or employee number as the identifier.
    • When importing members, ensure that the same identifier is always used.
    • If a member account is created via API, the member employee number or username is their identifier.
      • If this info were to change, a duplicate member will be created.

Note:

  • A member pin unique and will always reference the same member per partner.
  • An employee number is unique per program.
  • When importing member records, the member pin and employee number are not case sensitive.
